Privacy Policy for Next2Respond

Next2Respond ("we," "our," or "us") respects your privacy. This Privacy Policy explains how we collect, use, and protect your information when you use the Next2Respond application ("the App").

Information We Collect

We collect information you provide directly to us, including:

  • Account information (such as name, email address, and authentication details)
  • Volunteer application data submitted to organizations
  • Organization profile information, including public descriptions and recruitment content
  • Communications and interactions within the App
  • Messages you send through our demo and contact forms

Authentication is handled by Clerk, which manages login credentials and identity verification.

Payments and Billing

Payment processing is managed by Stripe. We do not store your full credit card details. Stripe handles all payment information securely in compliance with industry standards (PCI-DSS).

How We Use Your Information

We use the information we collect to:

  • Provide and maintain the App's functionality
  • Facilitate connections between organizations and applicants
  • Communicate with you (e.g., application updates, account notifications)
  • Process billing and manage subscriptions (via Stripe)
  • Improve and personalize your experience
  • Ensure compliance with our Terms of Service

Sharing Your Information

We do not sell your personal information. We may share your information with:

  • Organizations: If you submit a volunteer application, your application data is shared with the organization you applied to.
  • Service Providers: We use third-party providers to operate the App: Clerk (authentication), Stripe (payments), AWS (hosting and file storage), Postmark (email delivery), Cloudflare Turnstile (bot checks), Upstash (rate limiting), and Google Analytics (site usage). Each provider receives only the information it needs to do its job.
  • Legal Compliance: We may disclose information if required by law or to protect our rights.

Data Security

We use industry-standard security measures to protect your information, including encryption and secure data storage on AWS infrastructure. However, no system is completely secure, and we cannot guarantee absolute security.

Your Rights

You have the right to:

  • Access and update your account information
  • Request deletion of your account and associated data
  • Opt out of non-essential communications

Interested Volunteers

If you use our "raise your hand to volunteer" form (at /interested), we collect your name, email, optional phone number, ZIP code, an age range (never your exact date of birth), and the areas you're interested in. If you're under 18, we also collect a parent/guardian email, and all department contact for minors routes through that parent/guardian.

We never sell or share your contact info. Specifically:

  • Verified departments can only ever see aggregate counts (e.g. "12 people interested within 25 miles") - never your name, email, or any other identifying detail. Counts below 3 are hidden entirely, since a count that small can itself be identifying in a small town.
  • Your contact info is only ever shared with a department if you explicitly choose to connect with them.
  • Your email address is confirmed via a verification link before you're included in anything (double opt-in). If you never confirm, your submission is automatically deleted after 7 days.

You'll separately be asked to opt in if you'd like an email whenever a department joins near you - that consent is unchecked by default and entirely optional.

You can unsubscribe from emails or request full deletion of your data at any time via the link in every email, or at /interested/manage. Deletion is immediate (your data is excluded from all stats and emails right away) and any backup copies are purged within 30 days.

Demo and Contact Requests

When you use our demo or contact form (at /demo, /contact, or /pricing), we collect:

  • Your name and email address
  • If you give them: your role, department name, county, state, phone number, roster size, and message
  • The topic you chose and the page you sent the form from
  • Your IP address and browser user agent, to stop spam and abuse

We use this information only to reply to you, prepare a demo or quote, send an invoice if you ask for one, and keep a record of our conversation. We send a copy of each request to our own inbox through Postmark. We do not add you to a mailing list, and we do not sell or share this information. To have a request deleted, email hello@next2respond.com.

Bot and Spam Protection

Our public forms (the demo and contact form, the volunteer application, and the interested-volunteer form) use these protections:

  • Cloudflare Turnstile. Turnstile checks that a person, not an automated program, is using the form. To do this, Cloudflare processes information about your browser and device, such as your IP address and browser signals. Cloudflare uses this information for the check and to improve its bot detection, as described in Cloudflare's privacy policy. Cloudflare states that it does not use Turnstile data to target ads.
  • A hidden honeypot field. Some forms include a field that people cannot see. Automated programs often fill it in. If it is filled in, we discard the submission. This field collects no information about you.
  • Rate limits. We count recent requests from each IP address for a short time, so one source cannot flood a form. We use Upstash to store these counts.

Cookies and Tracking

We use cookies and similar technologies to maintain your session and improve your experience. On our production site, we use Google Analytics to count visits and see which pages people use. You can manage cookie preferences in your browser settings.

Children's Privacy

The App is not intended for children under 13. We do not knowingly collect information from children under 13. If we learn that we have collected such information, we will delete it promptly.

Note that this 13+ minimum governs Next2Respond account creation only. Individual fire departments set their own minimum age and parental/guardian consent requirements for who may volunteer in their program - those are shown on each department's page and are separate from this platform-wide account policy.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make significant changes, we will notify you via email or through the App.
